Administrative Assistant to the Executive Pastor

Position Summary

The Administrative Assistant to the Executive Pastor provides high-level administrative and organizational support that strengthens the daily effectiveness of executive leadership and overall church operations. This role requires discretion, strong communication, attention to detail, and the ability to manage multiple priorities in a fast-moving ministry environment. Because this role also supports areas connected to reporting, records, and financial coordination, the ideal candidate should demonstrate comfort working with numbers, maintaining accuracy, and handling sensitive information with care. The person in this role helps create consistency across communication, scheduling, coordination, and internal follow-through while supporting the mission and culture of Connection Point Church.

Key Responsibilities

This role supports the Executive Pastor by coordinating the calendar, preparing meetings, providing communication support, organizing documents, and ensuring administrative follow-through aligned with leadership priorities. Responsibilities include managing scheduling needs, assisting with internal correspondence, helping prepare reports and materials, maintaining organized records, and supporting projects that require accuracy and timely execution.

This role also includes assisting with administrative processes related to financial records, expense coordination, reimbursements, budget-related organization, and maintaining accurate documentation involving financial details. A basic level of financial literacy, comfort working with numbers, and strong attention to detail are important for success in this position.

This position helps protect leadership margin by anticipating needs, organizing details, and ensuring next steps remain clear and moving forward.

Executive Support

  • Assist with time management, scheduling, and delegation
  • Manage calendar appointments and meeting schedules
  • Prepare agendas, documents, and meeting materials
  • Handle communication and follow-up as requested

Meeting and Project Coordination

  • Coordinate leadership meetings and staff meetings
  • Track action items and follow-through
  • Assist with church-wide projects and planning efforts

Communication Management

  • Facilitate communication between leadership and staff
  • Draft internal communication and reports
  • Maintain confidentiality

Administrative Operations

  • Maintain filing systems and records
  • Track documents and deadlines
  • Assist with budget tracking, invoices, and reimbursement processes
  • Maintain accuracy in financial documentation and reporting
  • Coordinate logistics and travel as needed

Qualifications Required

  • Strong relationship with Jesus Christ
  • High integrity and professionalism
  • Strong organization and communication skills
  • Basic financial literacy and confidence handling records, invoices, and budget-related details

Preferred Qualifications

  • Administrative experience, executive support preferred
  • Church or nonprofit experience preferred
  • Experience working with spreadsheets, reports, or financial documentation

Work Environment and Expectations

This role functions within a fast-paced ministry environment and requires flexibility as priorities shift throughout the week. While regular office hours are expected, occasional evenings, weekends, and added support during key church events may be necessary to effectively serve leadership and organizational needs.
